Get into GuardOps with your own account.

1 / 12

CURRENT OPERATING PROCEDURE

  1. Open the OpSentrix sign-in page.
  2. Enter Username or email and Password; press Sign in or Enter.
  3. If Choose an organisation appears, select the organisation for this shift. It appears only when your account belongs to more than one organisation.
  4. Once inside, open your name/avatar at the top right. Confirm the organisation shown below your account details.

A failed sign-in clears the password but keeps the username. Caps Lock is on appears while the password field is focused and Caps Lock is detected. If you forgot your password, the page says to ask a site administrator. After a session ends, sign in again; a saved link to a page should reopen after authentication.

Switch organisation or sign out

  1. Open the user menu at the top right.
  2. If Switch organisation is available, select the organisation you need. This section appears only when you have multiple choices.
  3. Confirm the new organisation in the menu before recording work.
  4. At the end of your use of a personal session, select Log out.

The menu also shows your role. My Account, Change Password, and Dashboards appear only when your role permits them. A missing menu item may be a permission difference; ask your supervisor if you need access.

Overview

See what needs attention now and open the current shift.

2 / 12

CURRENT OPERATING PROCEDURE

Overview is a live summary, not the place to change a rostered assignment. Use it to decide what needs attention, then open the linked working screen.

  1. Read Current shift for the site, shift identity, status and who is on duty. An uncovered position needs staffing attention.
  2. Compare the on-duty crew with Next shift. Check next-shift cover early enough to act on gaps.
  3. Read Handover for items the next shift would inherit, or items this shift received.
  4. Check Tasks for due and overdue work. Open a task to act on it or update its status.
  5. Check Patrols for entries logged today, this shift and the last patrol time. This reflects log entries; it is not proof that every scheduled patrol is complete.
  6. Check leave/absence information and the Shift log summary, then follow the link into the current record when details matter.

The dashboard updates while you work and refreshes when you return to the tab. A normal empty state can mean no activity has been recorded yet. If a panel says no data or access is unavailable, verify your role and the chosen site before assuming the work is complete.

Tasks

Track work from request to completion.

3 / 12

CURRENT OPERATING PROCEDURE

Tasks is the board for work that needs an owner, a status or a due time. The board has a Queue view with Task Summary and a board view. Column names can be edited, but their status and colour are tied to the configured task status. A custom column may be neutral.

StatusWhat it means in use
NewWork has been raised but not started.
In progressWork is under way.
AwaitingWork is waiting on another action or response.
ScheduledWork is planned for a future time.
OverdueIts due time has passed while it remains open, or an operator moved it here.
CompletedWork is finished.
CancelledWork was cancelled, with the task retained on the board.

The visible board column may have a longer title such as New Tasks or Awaiting Action. Task Summary uses the shorter status names. Status colours come from the site’s Design settings; read the text as well as the colour.

Add a task

  1. Open Tasks and select Add task. From an open Shift Log, use New task if available.
  2. Enter a title. Add a description if it helps the next person act.
  3. Set the task’s location (Where), assignees, priority, start and due times as needed. The creator is selected as an assignee by default; you can remove that selection.
  4. If the task must be done by shift end, set a due time and select Required. A required task without a due time is not offered.
  5. Choose the destination/status and select Add task. Open the new task to check its details.

Work and close a task

Open a task to add comments, update the assignee/due time, or change status according to your role. Move it to Completed only when the work is done. Cancel task asks for confirmation and keeps a cancelled record; moving it out of Cancelled reopens it. Some fields, including Description, may be read-only for your role until an Edit control is available.

Guard roll

Check licence, Working with Children and training status for the team.

4 / 12

CURRENT OPERATING PROCEDURE

The roll is for looking up a guard’s record and compliance status. It has Chase and Records views. Records supports search and filters for employment/compliance; rows with lapsed or soon-expiring requirements are brought forward so they are visible.

  1. Open The roll.
  2. Choose Records to find a named person, or Chase to review compliance work.
  3. Search and filter, then select the guard. Read the displayed licence, credential/training and status details before relying on them for an allocation decision.
  4. If the record needs correction, use an offered edit action or refer it to an authorised supervisor. Availability on a shift is still decided in Roster.

A compliance warning is an operational cue to check the record, not permission to ignore duty checks. The Roster assignment dialog applies its own hard duty-conflict rules. Role-dependent actions such as adding/importing guards, editing master records and exports may be absent for a normal guard account.

Logbook

Record what happened on a shift and carry work forward.

5 / 12

CURRENT OPERATING PROCEDURE

The Shift Log is the site’s operational record. Shift log lists the open shift, the next shift to start and recent completed records. Select the correct site, then press Open shift. A completed record is locked; correction requires a permitted Reopen action with a reason.

Record an event, incident or operational note

  1. On the open shift, go to the log composer above the timeline.
  2. Select Category. If that category has types, select the appropriate [category] type. The choices depend on this shift’s configured categories.
  3. Check Time. It follows the current clock until you edit it. For an event that happened earlier, enter its actual time; on an overnight shift, check the displayed next-day date cue.
  4. Enter a concise factual account in What happened: who, where, what action was taken and any outcome known now.
  5. Select Log it. Confirm the entry appears in the chronology.

The button is unavailable until the time resolves within the shift and the description contains text. If a save fails, the draft remains in this tab for the shift so you can correct and retry. You can open Contacts, Vehicles or a task and return without losing a written draft in the same tab.

Correct an entry

Open the entry’s edit control if your role offers it. You can amend its time, type and text, then Save; its category cannot be changed in place. If an entry should not stand, a permitted Void action requires a reason and leaves the struck-through entry in the record. An operator with special authority may remove a system chronology line with a reason; this is not a routine guard action.

Use To handover on an entry when follow-up must be passed on. This opens a handover form linked to the entry; you still need to write and save the handover item. Use New task when work needs ownership or a due time.

Officers and roster managers

Roster

See who is covering each post and manage shifts.

6 / 12

CURRENT OPERATING PROCEDURE

Roster is the authority for planned posts, assigned guards and roster-backed Shift Log crew. The Roster page offers Day, Fortnight and Month views, a site filter and search. Open the relevant day/post shift to see On this shift, available guards and shift details. Editing options depend on your role.

Replace a guard who is on an active shift

  1. Open Roster and find the correct site, date, shift band and post.
  2. Open the shift detail. In On this shift, choose Take off for the outgoing guard.
  3. Choose Just a swap, Off sick, Annual leave or No-show according to what happened. The roster action writes as you make it; a separate allocation Save is not required in this dialog.
  4. If Reason for the roster change appears, select the reason for leaving the active Shift Log. Enter Detail when you choose Other, then select Save change. Cancel leaves the held change unsaved.
  5. In the available guard list, choose the replacement. Read any duty, leave, clash or licence warning. A hard duty conflict may prevent selection.
  6. Return to Shift log → Open shift. Confirm the outgoing guard’s worked period remains and the replacement appears from the change time, with a chronology line.

Leave a post vacant or fill one later

To make a post vacant, take the guard off and complete any prompted reason. Check the Shift Log’s Uncovered state. To fill it later, return to the same roster shift and assign the guard; the log records the gap and the later cover. If a roster shift is marked Hide from the Shift Log, it remains on Roster but does not populate the Shift Log; this is a site configuration, not a guard-level hide control.

Changing a rostered post’s planned hours belongs in Roster. Shift Log history represents actual coverage and must not be manually re-timed to disguise a late replacement.

Reports

Preview activity and roster figures, then save or export a report.

7 / 12

CURRENT OPERATING PROCEDURE

Reports brings together the report families your role can open. The hub can show headline figures and saved, upcoming or recent runs. Available report families include Shift Operations, Tasks, Handover and Roster schedule when your permissions allow them.

  1. Open Reports and choose the report family you need.
  2. Set the offered site/date range or other filters.
  3. Review the visible result and, if offered, open its evidence/detail view or export it.
  4. For a specific shift’s own chronology, open Shift log and select that completed record from the recent list.

A completed Shift Log is locked. The current Shift Log no longer offers Shift Notes editing. A report is a view of recorded work; it does not update the operational record by itself.

If a report or Export/Email control is absent, it may require a different role or additional access to its source data. Do not treat a missing report tile as proof that no activity exists.

Contacts

Find the person to call and follow the escalation order.

8 / 12

CURRENT OPERATING PROCEDURE

Contacts is the quick directory for operational phone numbers. It is separate from the compliance-focused The roll.

  1. Open Contacts from the side menu, or follow a guard contact link from the Shift Log.
  2. Use Search by name to narrow the loaded list.
  3. Select the person to open their detail pane, then use the offered phone or email link.
  4. If you entered from the Shift Log, use the back-to-shift link to return to the record.

Some accounts see phone information but not email. Edit [name] appears only for accounts allowed to edit the person’s roster/profile record. Export CSV exports the contacts currently shown; it is labelled as filtered when a search is active. Important contacts may appear beside the selected person.

Vehicles

Check a registration and review reported stolen vehicles.

9 / 12

CURRENT OPERATING PROCEDURE

Vehicles opens Vehicle Checks for accounts with access. A plate search runs a fast stolen-register check. A separate registration enquiry is optional and can take longer; select it only when you need those details. A clear search result is only the result of the provider checked, not a blanket assurance about the vehicle.

  1. Open Vehicles and enter the registration plate.
  2. Check the jurisdiction control. Auto can use the state returned by the stolen-register result; choose a specific state when you know the correct one.
  3. Leave the optional registration enquiry off for a quick stolen-register check, or turn it on when registration details are needed.
  4. Select Search and read each provider result separately. Check the state actually queried for registration; a miss applies to that state.
  5. Record any operational decision or action in the Shift Log if it matters to the shift.

A registration provider may be unavailable even when the stolen-register check completes. The screen reports that separately. A linked vehicle-check action elsewhere in the app may open this page with a plate prefilled.

Getting started

Practical steps for your shift.

OPERATIONS

CURRENT OPERATING PROCEDURE

OpSentrix is the shift workspace for the site you are operating. Your usual path is Overview → Shift log → Tasks, with Roster for staffing changes and Contacts for quick phone numbers. The navigation you see depends on your role.

A practical first five minutes

  1. Sign in and check the organisation shown in your user menu.
  2. Open Overview. Read Current shift, on-duty crew, next shift, tasks, handover and patrol activity.
  3. Open Shift log and choose the correct site. Open the running shift, or start the appropriate next shift if none is open.
  4. Expand On this shift. Check names, uncovered posts and Radio/BWC/Key set.
  5. Review Handing over and work due this shift. Record new operational events in the log as they happen.

Starting your shift

Practical steps for your shift.

OPERATIONS

CURRENT OPERATING PROCEDURE

At the start of your shift, confirm that a Shift Log does not already exist for the site and period you intend to work. Starting another shift does not close the open one.

  1. Open Shift log from the side menu.
  2. Choose the correct site from the site selector. The page remembers your choice; always check it when you change sites.
  3. If Open shift is shown, select Open shift and continue there.
  4. If No shift open is shown, use the Next shift card. Select the shift type/window. If an overnight shift offers two business dates, choose the correct one.
  5. Read any attention message about ambiguous timing or a shift outside the current period. The start control may still be available; confirm your selection carefully.
  6. Press Start [shift name]. Open the new Shift Log and check On this shift, tasks and inherited handover.

If the page says no site has a shift log configured, an administrator must configure shift types for that site; a guard cannot start one there.

Managing crew

Practical steps for your shift.

OPERATIONS

CURRENT OPERATING PROCEDURE

Expand On this shift to see Callsign, Name, Radio, BWC, Key set and Hours. An Uncovered row is a real gap, not a blank name. A roster-backed row shows planned hours as Rostered. A guard who has left can remain in history; the current crew count is about who is on now.

Check and edit a crew row

  1. Open the current Shift Log and expand On this shift.
  2. Find the callsign/post and guard. Read any Uncovered, No radio or No BWC marker.
  3. Use the row edit control to change permitted fields and select Save, or edit kit directly in its cell.
  4. Check the saved row and timeline. A name can be opened for contact details where available.

For a roster-backed row, the guard, callsign/post and planned hours come from Roster and are read-only here. Use Roster to replace the person or change planned staffing. The Shift Log still records what happened when the change occurs.

For a manual row, the Shift Log can offer Add guard, Cover, Relieve instead or End here according to the row’s state and your role. A started row’s identity is historical: use a relief or cover at the correct time rather than rewriting who worked earlier. An ended gap cannot be covered after its window.

If crew has come from the roster, Add guard opens the roster’s ad hoc shift/assignment flow, including duty checks. A newly created ad hoc line can appear as Uncovered until a guard is assigned. Do not use the manual form to bypass roster checks.

Guard equipment

Practical steps for your shift.

OPERATIONS

CURRENT OPERATING PROCEDURE

Equipment is recorded against a crew row in the current Shift Log. Roster decides roster-backed identity and planned hours; kit is updated in the Shift Log.

  1. Open Shift log → Open shift and expand On this shift.
  2. Find the correct guard and callsign. Select the Radio, BWC or Key set field directly, or use the row edit control.
  3. Enter the issued number/identifier. Press Tab or Enter (or leave the field) to save an inline value; use Save if you opened the whole row. Escape restores the last saved inline value.
  4. Confirm the value appears on the correct row. Repeat when kit is swapped or issued later.

An empty Radio or BWC can be shown as No radio or No BWC. These are attention cues about the row at that moment; they are not a separate incident record. If equipment is genuinely missing and a follow-up is needed, record the operational fact in the log and raise a task or handover item as appropriate.

Notifications and bell

Practical steps for your shift.

OPERATIONS

CURRENT OPERATING PROCEDURE

The top-right notification area has two different kinds of message. A brief card confirms a save or shows an error. The Notifications bell holds task alerts you can return to.

Act on a bell notification

  1. Select the bell. An unread count appears only when there is unread work.
  2. Check Now for unread or still-live alerts. Read the task title and the source line: assignment, mention, comment, due soon or overdue.
  3. Open a task from its row. A stored notification is marked read as you open it.
  4. Use Mark all read for stored alerts you have reviewed. Read items from today appear under Earlier today; older ones are behind Show earlier.

A due-soon/overdue task alert is calculated from the task and remains live while that condition is true. It has no individual read action; complete the task or correct its due time to clear the condition. The bell has no Clear or delete action. New task alerts can also appear as a top-right card with Open task when the drawer is closed. Opening the drawer removes that duplicate card, while the bell item remains.

Routine Done messages and other transient messages disappear after about ten seconds; hover pauses the countdown. A Failed message means the action did not complete. Read it, correct the problem and retry, then verify the underlying record. Dismissing a brief card does not fix an overdue task or change a persistent bell alert.

Handover

Practical steps for your shift.

OPERATIONS

CURRENT OPERATING PROCEDURE

The Handing over section shows what the next shift would inherit if this shift ended now. It is distinct from the Inherited from [shift] line, which describes what your shift received. A completed shift shows Handed over as it stood at sign-off.

The live handover groups three kinds of work: Unfinished required work due this shift, Carried work due before this shift began, and open Handover items. Current uncovered crew or missing kit can appear as context, but are not automatically turned into handover items. Resolved items recede into a disclosure and are not handed forward.

Raise a handover item

  1. Open the current Shift Log and expand Handing over.
  2. Select Raise one.
  3. Write the fact or action the next shift needs. Add the optional assignee when appropriate.
  4. Save it and confirm it appears among open handover items.

You can start from a log entry’s To handover control. That opens a form and links the entry, but it does not save a handover item until you write and submit it. Open items belong to the site and remain available to later shifts until resolved; they are not copied into new duplicate items.

Resolve or pass on work

Open a handover item and mark it resolved when the issue is actually finished; depending on your role, you may be able to edit or reopen it. For required and carried tasks, complete the task on the board (or through the offered task action). That is what removes it from live handover. At sign-off, unfinished required tasks are recorded as unfinished in the shift record and remain visible for the next shift. End Shift warns about them but does not block solely for this reason.

Patrols

Practical steps for your shift.

OPERATIONS

CURRENT OPERATING PROCEDURE

The current application records patrols as a Patrol category in the Shift Log chronology. The Overview Patrols panel counts entries logged today and this shift and shows the last patrol time. It links back to the Shift Log’s patrol section. The code reviewed does not prove an end-to-end patrol scheduling or checkpoint completion workflow for guards, so this guide does not claim one.

Log a patrol

  1. Open the active Shift log and go to the log composer.
  2. Select the Patrol category if it is configured for this site and shift.
  3. Choose the offered patrol type. Types may differ between shift periods; use the one that matches the patrol you actually performed.
  4. Check Time and write a factual What happened entry: route/area, relevant callsigns, findings and action taken.
  5. Select Log it. Confirm the patrol appears in the chronology and later in the Overview patrol summary.

If you need follow-up, create a task or use To handover on the entry and complete the handover form. A patrol log entry records an occurrence; it does not by itself close an unrelated task.

Ending your shift

Practical steps for your shift.

OPERATIONS

CURRENT OPERATING PROCEDURE

End shift is available only from ten minutes before the shift’s scheduled end, or later, and only to a role with end permission. Before then, the action bar says End shift from [time]. Starting a new shift does not end the old one.

  1. Open the active Shift Log and review On this shift for uncovered posts and missing Radio/BWC.
  2. Review required tasks and Handing over. Complete work genuinely finished; leave unresolved work visible for the next shift.
  3. Check the chronology for incidents, patrols and operational events that should be recorded.
  4. Select End shift when it becomes available.
  5. Read the sign-off review. It lists unfinished required work, carried work, handover items and crew exceptions.
  6. Select End the shift to sign off, or Keep it open to return and correct the record.
  7. Confirm the record shows the end time and is locked.

A permitted Reopen requires a reason and records the reopening. It is for a genuine correction, not normal continuing work after sign-off.

Quick reference

Practical steps for your shift.

OPERATIONS

CURRENT OPERATING PROCEDURE

Keep this page open during handover. Each check points to the screen where you act.

Start of shift

  1. Sign in, confirm the organisation and correct site.
  2. Read Overview: current and next shift, uncovered posts, tasks, patrol activity and leave.
  3. Open or start the Shift Log. Read inherited handover.
  4. Expand On this shift; verify rostered guards, callsigns and equipment.
  5. Open Tasks; identify overdue and required work due this shift.

During shift

  1. Log events as they happen, including incidents and patrols.
  2. Update Radio/BWC/Key set when issued, changed or missing.
  3. Make roster-backed staffing changes in Roster, give an active-shift reason when prompted, then confirm the Shift Log history.
  4. Monitor tasks and notifications; act on overdue work.
  5. Raise a handover item for unresolved information the next shift must know.

End of shift

  1. Review entries, crew exceptions and equipment; close work that is actually complete.
  2. Read Handing over and verify unfinished required work, carried tasks and open items.
  3. From ten minutes before scheduled end, select End shift, read the sign-off review and confirm.
  4. Confirm the record is locked and the next operator can see the outstanding work.

Guards and control room

Common scenarios

Practical steps for your shift.

OPERATIONS

CURRENT OPERATING PROCEDURE

A guard is sick before the shift

  1. In Roster, open their upcoming post and use Take off → Off sick if offered.
  2. Assign an eligible replacement or leave the post vacant while cover is arranged.
  3. When the Shift Log starts, verify the actual roster-backed crew and any uncovered post. If the active log had already started, complete the prompted Reason for the roster change and check its chronology.

A guard is replaced mid-shift

  1. In Roster, open the active post, take off the outgoing guard and select the correct absence/swap choice.
  2. When prompted, choose the active-log departure reason and save it.
  3. Assign the replacement; review any duty warning.
  4. In the Shift Log, verify the old guard remains for their worked period, the replacement begins from the change time and the chronology explains the change.

A post becomes vacant, then is filled later

  1. Take the outgoing guard off in Roster; provide the prompted reason.
  2. Verify Uncovered in the Shift Log. Keep the gap visible.
  3. Later assign the new guard on the same roster shift. Verify the gap remains in history and the new guard is added automatically.

A guard has no radio or BWC

  1. Confirm whether the equipment is missing or its number was not recorded.
  2. Update the correct Radio or BWC cell in On this shift when issued.
  3. If the missing kit affects operations or needs follow-up, log the fact and raise a task or handover item.

A task becomes overdue

  1. Open the task from Tasks or the bell.
  2. Act, comment or reassign. Change the due time only if the agreed deadline has actually changed.
  3. Move to Completed only after the work is finished. Check the handover if it was required or carried.

Something must go to the next shift

  1. Record the event in the Shift Log if it happened during your shift.
  2. Select To handover on the entry, or Raise one in Handing over.
  3. Write and save the action/fact; verify it is in open handover. If ownership and due time matter, create a task too.

A Shift Log crew record is wrong

  1. Identify whether it is roster-backed or manual, and whether the period has started or ended.
  2. For roster-backed current staffing, fix the assignment in Roster and verify the sync. Do not overwrite the crew name or planned time.
  3. For a historical mistake, use only the correction/reopen action your role actually offers, with a reason where required, or escalate. Keep the worked chronology truthful.

You need another guard or contact

Use Contacts → Search by name for a phone/email; use The roll → Records for compliance details. Allocate through Roster, not through the contact or roll view.

You need to finish the shift

Review crew, tasks, log entries and handover; wait until End shift opens ten minutes before scheduled end; read the sign-off review and select End the shift. Unfinished work is carried, not completed for you.
